AI receptionist for dental and medical practices in Los Angeles

Your Los Angeles practice answers every call, in the languages your patients use where the platform supports them, with one person in LA County on your side from setup on.

In Los Angeles, a patient who reaches voicemail usually has another office nearby to call next. I am a consultant who helps Los Angeles practices set up an AI receptionist from your current vendor, one you choose, or one I trust, customized to the office, so every call gets answered. I am based in LA County, so the first meeting is at your office.

Why do Los Angeles practices lose calls they should be answering?

Most lose them to timing, not effort. Your front desk handles check-in, checkout, insurance questions, and the phone with the same two hands, so calls stack up at lunch, at opening, and after 5. When staff turn over, it gets worse: an MGMA report in 2026 noted that with front-desk turnover, "call abandonment rises."[1] The guide to front desk turnover covers why the seat keeps emptying.

Picture a two-physician internal medicine office in Pasadena. The medical assistant covers the phones during lunch while also rooming the 1:00 patient. Three calls ring out in twenty minutes. One was a new patient referred by a colleague. Your phone system logs all three, and the guide to counting missed patient calls shows you where to find them.

How does an AI receptionist in Los Angeles work?

The receptionist answers your line, or only the overflow and after-hours calls, and does what a trained front desk would. It books or confirms appointments when your scheduling software allows it, answers the routine questions, passes calls to staff with the details already collected, and escalates urgent calls using rules we write together.

Three systems sit underneath it: your phone carrier, your IT setup, and the AI platform. Your AI receptionist vendor (the one you have, one you pick, or one I recommend) provides and supports the platform. I customize it for your practice, coordinate all three to set it up, then review call results with you monthly and send tuning requests to the vendor. The AI receptionist consulting page covers the full scope.

CustomizationScripts, booking handoffs, escalation rules, and language testing, set up with the vendor.
Patient dataMake sure the vendor’s business associate agreement is signed and recording notices, storage, and access rules are written down.
After launchMonthly call review with you, tuning requests to the vendor, and updates when your practice changes.

Can one receptionist handle the many area codes in Los Angeles County?

Yes. The receptionist answers whatever number patients already dial, so your area code does not change. Los Angeles County is served by 213/323, 310/424, 818/747, 626, and 562, and 909 reaches into the eastern part of the county.[2][3][4]

This matters for groups with more than one office. A practice with one office on a 310 number and another on an 818 number can share one receptionist that knows which office each caller dialed, gives the right address and hours, and sends transfers to the right staff. My own business line is a 626 number.

Should a Los Angeles AI receptionist handle Spanish calls?

In most of the county, plan for it. The Census Bureau reports that 55.1% of Los Angeles County residents age 5 and older speak a language other than English at home.[5] That number counts every language, Spanish included.

Spanish support depends on the AI platform, and quality varies, especially with names, dates of birth, and insurance plan names. I test Spanish call paths before launch. For other languages your patients speak, we decide which calls go straight to a bilingual person on your staff instead.

Where do you meet Los Angeles practices?

At your office, for the first meeting and whenever a change is easier to show than explain. I work with practices in Pasadena, Santa Monica, Torrance, Long Beach, the San Fernando Valley, and the neighborhoods in between.

Groups that also have an office in Orange County or the Inland Empire get the same consulting there, with the same person as their point of contact.

How does the cost compare with hiring in Los Angeles?

The Bureau of Labor Statistics put the mean annual wage for receptionists and information clerks in the Los Angeles-Long Beach-Anaheim metro at $40,850 in May 2023.[6] Payroll taxes and benefits come on top, and the receptionist covers the calls that hire cannot get to. The cost comparison guide lays out both sides.

How is patient data handled under HIPAA and California law?

The setup is built to handle PHI under HIPAA, and I check that the safeguards are in place before any patient calls.

Not legal advice

This summarizes the rules in plain terms. It is not legal advice. The HIPAA guide for AI receptionists has the full checklist.

Which Los Angeles practices is it for?

Independent and small-group dental, medical, and specialty practices across LA County, where the owner wants every new-patient call answered and nobody on staff has time to manage three vendors.

What are the onboarding steps?

  1. Office visit

We walk through your call flow and pull missed-call numbers from your phone system.

  2. Written plan

Call flows, languages, and escalation rules are agreed before building. You sign up with the vendor and sign its business associate agreement.

  3. Build and test

I customize the receptionist with the vendor and coordinate your phone and IT providers. Every path gets tested, including after-hours, transfers, and Spanish calls.

  4. Launch and ongoing advice

Close watch at first, with early misses sent back to the vendor to fix. Then a monthly review of call results with you and tuning requests to the vendor.

Frequently asked questions

Are you actually local to Los Angeles?

Yes. I am based in Los Angeles County and meet practices in person at their offices. The first meeting always happens at your practice.

Do you provide the AI receptionist yourself?

No. I am a consultant. The platform comes from an AI receptionist vendor: the vendor you already use, one you choose, or one I work with and trust. I customize it for your practice, coordinate your phone and IT providers, and stay on as your advisor and point of contact.

We have offices in two different LA area codes. Can one receptionist cover both?

Yes. Each office keeps its number, and the receptionist knows which location the caller reached. Hours, directions, and transfers are set per office.

Can the AI receptionist speak Spanish with our patients?

Many platforms support Spanish, but quality varies. If your patients call in Spanish, we confirm the platform handles it well and test those calls before launch.

Is an AI receptionist HIPAA compliant?

It can be set up to handle PHI under HIPAA, and checking that is part of my work: business associate agreements, limited data collection, and controlled access to recordings. HHS does not recognize private "HIPAA certifications," so be wary of any vendor selling one.[13]

What happens with urgent calls?

We write escalation rules for your specialty before launch. Urgent calls go to a person or your on-call process, and callers describing an emergency are told to call 911.
