AI receptionist for dental and medical practices in Orange County
Every call to your Orange County practice answered, new patients booked or handed to your team, and one local person on your side coordinating the phones, the IT, and the AI vendor.
Your front desk is checking in a patient, verifying a plan, and watching line two ring out, all in the same minute. I am a consultant. I help Orange County practices set up an AI receptionist from your current vendor, one you choose, or one I trust, customize it for the office, and stay on as the advisor, so those calls get answered. The first meeting happens at your office, not on a sales call.

Why do Orange County practices miss patient calls?
Because the same one or two people cover the phones and the patients at the window. The gap opens at lunch, first thing Monday, after 5, and on any day someone is out.
Picture a four-chair dental office in Irvine with one front desk coordinator. At 12:15 she is verifying a PPO plan for the afternoon, a parent is at the window, and a new patient calls, hears voicemail, and hangs up without a message. The guide to counting missed patient calls shows how to pull that number yourself.
What does an AI receptionist in Orange County do?
It answers your main number, or only the calls your staff cannot reach, and handles the call the way your front desk would. It books or reschedules when your scheduling system allows it, answers routine questions, hands calls to your team with the details already written down, and escalates urgent calls using rules we set for your specialty.
The platform comes from your AI receptionist vendor (the one you have, one you pick, or one I recommend), and they run and support it. My part is the consulting: I customize it for your practice, coordinate your phone carrier, IT provider, and the vendor to set it up, then review call results with you monthly and send tuning requests to the vendor. The full description lives on the AI receptionist consulting page.
- Call routing, overflow, and after-hours rules on your existing phone system, worked out with your carrier and IT provider.
- Receptionist setup: what it knows, what it says, and what it must never say.
- Booking, reminders, and intake handoffs where your practice software supports them.
- A signed business associate agreement with the vendor, written recording rules, and a monthly review of call results with you.
Will patients still call my 714, 657, or 949 number?
Yes. In most setups your existing number stays exactly as it is, and calls are routed to the receptionist based on rules you choose.
Orange County has two area code regions. North county uses 714 and its overlay 657, and south county uses 949.[1] Groups with an office on each side often run two numbers that patients treat as two different practices. One receptionist can answer both, tell which office the caller dialed, and give the right address, hours, and parking directions for that location.
Does an Orange County receptionist need to speak Spanish?
For many practices here, it should at least be able to. The Census Bureau reports that 46.4% of Orange County residents age 5 and older speak a language other than English at home.[2] That figure counts every language, Spanish included, and it is a good reason to check before launch.
Spanish support depends on the AI platform. Some handle it well and some stumble on names and dates, so I test the Spanish call paths with realistic calls before any patient hears them. For other languages your patients use, we decide which calls go straight to a bilingual person on your team.
Where do you meet Orange County practices in person?
At your practice. The first meeting is in your office, where I can see the front desk, hear how the phones ring, and read the call reports with your office manager. I work with practices in Irvine, Newport Beach, Anaheim, Santa Ana, Mission Viejo, and the cities around them.
If your group also has an office in Long Beach or north county San Diego, I cover Los Angeles and San Diego too, so you keep one point of contact for every location.
What does a front desk hire cost in Orange County?
The Bureau of Labor Statistics put the mean annual wage for receptionists and information clerks in the Los Angeles-Long Beach-Anaheim metro, which includes Orange County, at $40,850 in May 2023.[3] That is before payroll taxes and benefits, and the receptionist covers calls one person cannot reach. The receptionist cost comparison walks through the full math.
How is patient information protected under HIPAA and California law?
Callers give names, dates of birth, and reasons for a visit, so the setup is built to handle PHI under HIPAA before the first live call.
- Every vendor that stores or transmits PHI has a signed business associate agreement with your practice first, and I make sure it is signed.[4]
- The receptionist asks only for what the task needs, in line with the minimum necessary standard.[5]
- California requires all-party consent to record calls, so recorded calls start with a notice.[6][7]
- California’s AB 3030 requires an AI disclaimer and a path to a human when generative AI communicates patient clinical information in medical settings. Scheduling and billing are outside it, and dental offices are not named, so dental practices should ask their attorney.[8]
Not legal advice
This is a plain summary of the rules, not legal advice. No vendor can sell a HIPAA certification, because HHS does not recognize one.[9] The HIPAA guide for AI receptionists lists what to verify.
Which Orange County practices is this for?
Independent and small-group dental, medical, and specialty practices where a missed new patient costs real money, including general dentistry, orthodontics, oral surgery, dermatology, and primary care. It fits best when the office manager is tired of chasing three vendors.
How does onboarding work?
Meet at your office
We review how calls reach you today and where they drop, using your phone reports.
Design and paperwork
Call flows, escalation rules, and data handling get agreed in writing. You sign up with the vendor and sign its business associate agreement.
Build and test
I customize the receptionist with the vendor and coordinate your phone carrier and IT provider to connect it to your lines. Then we test every path, including after-hours, transfers, and Spanish calls if needed.
Go live and ongoing advice
Close watch in the first weeks, with early misses sent back to the vendor to fix. Then a monthly review of call results with you and tuning requests to the vendor.
Frequently asked questions
Do you really meet in person anywhere in Orange County?
Yes. The first meeting is at your practice, whether that is in Anaheim, Irvine, or Mission Viejo.
Do you provide the AI receptionist yourself?
No. I am a consultant. The platform comes from an AI receptionist vendor: the vendor you already use, one you choose, or one I work with and trust. I customize it for your practice, coordinate your phone and IT providers, and stay on as your advisor and point of contact.
Can one AI receptionist answer for offices in both 714 and 949?
Yes. Each office keeps its own number, and the receptionist knows which one the caller dialed. It gives location-specific hours and directions.
Can it take calls in Spanish?
Many platforms support Spanish, but quality varies, so we confirm the platform handles it well and test those calls before launch.
Is it HIPAA compliant?
It can be set up to handle PHI under HIPAA, and checking that is part of my work: business associate agreements, limits on what is collected, and controlled access to recordings. No product is "HIPAA certified," because HHS does not recognize private certifications.[9]
How long until we go live?
It depends on your phone system and scheduling software. We set a target date together at the first meeting, after we see how your calls are routed today.
